How to Plan a Charity Gala

A charity gala is one of the biggest events a nonprofit can run, and one of the easiest to fall behind on. Most galas take 6 to 12 months to plan. Here's the full path, in order.

Set the goal and the budget

Start with a number: how much do you need to raise, after costs? Work backward from it to set ticket prices, table prices, and how much has to come from sponsors and the auction. Write the budget down before you book anything.

  • Set a net fundraising goal (after costs)
  • Draft a budget: venue, food, AV, decor, printing
  • Form a small committee and give each person one area

Book the venue and date

Good gala venues book up a year ahead, especially in spring and before the holidays. Check what's included: tables, linens, AV, and whether you have to use their caterer. Ask about liquor rules and insurance early.

  • Visit 2 or 3 venues and compare what's included
  • Check the date doesn't clash with other local galas
  • Confirm liquor licence and insurance needs

Find sponsors

Sponsors usually cover a big part of a gala's costs. Make 3 or 4 sponsor levels with clear perks, like logo on the screen, a reserved table, or a mention from the stage. Ask local businesses you already have a link to first.

  • Make a one-page sponsor package with 3–4 levels
  • Ask past supporters and board contacts first
  • Track every ask: who, when, and the answer

Plan the program, auction, and tickets

Decide the run of the night: arrival, dinner, speaker, auction, and a clear moment where you ask for donations. Start collecting auction items now. Open ticket sales once the date, venue, and main speaker are set.

  • Write a rough run-of-show for the evening
  • Collect silent and live auction items
  • Open ticket and table sales

Volunteers, details, and promotion

Recruit volunteers for check-in, auction tables, and setup, each with a set shift. Confirm the menu, seating plan, and AV. Keep promoting to your supporter list until tickets sell out.

  • Assign volunteers to clear roles and shifts
  • Finalize seating chart, menu, and AV needs
  • Send reminders to your list and sponsors

The week after

Thank everyone and report back

Send thank-yous to donors, sponsors, and volunteers within a week. Tell everyone how much was raised and what it will do. Write down what to change for next year while it's still fresh.

  • Send thank-you notes and tax receipts
  • Share the final amount raised
  • Write a short debrief for next year
