How Far in Advance to Plan a Fundraiser
The short answer: 1 to 2 months for a small fundraiser, 3 to 6 months for a mid-size one, and 6 to 12 months for a gala. Here's what each one needs, and what to do first.
Small events
1–2 months ahead
Bake sales, car washes, bottle drives, and dine-and-donate nights can come together in a few weeks. The main jobs are booking the spot, getting volunteers, and spreading the word.
- Book the location or partner business
- Recruit a handful of volunteers
- Promote for at least 2–3 weeks
Mid-size events
3–6 months ahead
Fun runs, trivia nights, dinners, and silent auctions need more lead time. You may need permits, sponsors, and a venue, and auction items take time to collect.
- Book a venue 3–4 months out
- Ask sponsors and collect auction items
- Open registration 6–8 weeks before
Large events
6–12 months ahead
Galas, golf tournaments, and festivals need the most time. Good venues and golf courses book a year out, and sponsors often set their budgets months in advance.
- Book the venue or course first
- Approach sponsors 6+ months out
- Form a committee with clear roles
Any size
What to do first
Whatever the size, start with the same three things: a money goal, a date, and the one person in charge. Then work backward from the date to set deadlines for everything else.
- Set a fundraising goal after costs
- Pick the date and a backup
- Name one lead, then work backward from the date
Watch out
Things that take longer than you think
Permits, liquor licences, sponsor decisions, and printed materials are the usual surprises. Start these early, even for smaller events.
- Permits and liquor licences: allow several weeks
- Sponsor decisions: allow 1–3 months
- Printing and signs: allow 2 weeks
