Nonprofit Fundraising Event Checklist

3 months out

Lock the basics

  • Set the date and backup rain date (if outdoors)
  • Book the venue and confirm capacity
  • Apply for any permits (noise, alcohol, food, street closure)
  • Set a fundraising goal and draft a budget
  • Pick an event lead and a small planning committee

6–8 weeks out

Build your team and your list

  • Recruit and assign volunteer coordinators
  • Reach out to vendors, caterers, and entertainment
  • Line up sponsors and confirm what they get in return
  • Start marketing — social posts, local listings, email list
  • Set up your registration or ticketing page

2 weeks out

Tighten every detail

  • Confirm final headcount with the venue and caterer
  • Print signage, name tags, and any programs or run sheets
  • Confirm every vendor and volunteer shift, one by one
  • Do a walkthrough of the site or venue
  • Prep your donation/payment method for the day of

Week of

Get ready to run it

  • Pack day-of supplies (cash box, first aid, signage, chargers)
  • Send your team a final schedule with arrival times
  • Check the weather and confirm your backup plan if needed
  • Brief volunteers on their roles and who to ask if something breaks

Day after

Wrap it up properly

  • Send thank-you notes to sponsors, vendors, and volunteers
  • Reconcile the budget against what actually came in and went out
  • Write down what to change next time, while it's fresh
