Charity Event Budget Template

A clear budget is how you know if your charity event actually raised money. Here are the lines to include, and how to use them. Copy them into a spreadsheet or onto paper.

Building a budget?

EventCenter has a budget built in, right next to your event's task list and team. Free for 14 days.

Step 1

Start with your goal

Write down how much you want to raise after costs. That one number guides every other line in your budget.

  • Net goal (what's left after costs)
  • Expected number of guests
  • Ticket or entry price

Step 2

Money coming in

List every way the event will bring in money. Be honest with your guesses, and lean low.

  • Ticket or table sales
  • Sponsorships
  • Auction or raffle (check your local raffle licence rules)
  • Donations on the day
  • Food, drink, or merchandise sales

💡 Keeping the budget next to the task list helps. In EventCenter, your budget and your tasks live in the same place, so the whole committee sees both. Try it free

Step 3

Money going out

List every cost, even small ones. Small costs add up fast, and they're the ones people forget.

  • Venue and rentals (tables, chairs, tents)
  • Food and drink
  • AV, music, or entertainment
  • Printing, signs, and decorations
  • Permits, licences, and insurance
  • Payment processing fees

Step 4

Check the gap

Subtract costs from income. If the number is below your goal, either cut costs, find a sponsor to cover a big cost, or raise the ticket price.

  • Income minus costs = what you raise
  • Ask sponsors to cover your biggest costs
  • Ask for in-kind donations (food, prizes, printing)

Step 5

Track it as you go

A budget only helps if it stays up to date. Have one person own it, and update it each time money comes in or goes out.

  • Keep one shared budget, not copies
  • Save every receipt
  • Compare actual vs. planned after the event
