Privacy Policy

EventCenter helps nonprofits, clubs and community organizers plan events. This page explains what information we collect, why, who we share it with, and how you can see or delete it.
EventCenter is operated from Calgary, Alberta, Canada. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta's Personal Information Protection Act (PIPA). This policy covers the EventCenter website (eventcenter.ca) and the EventCenter apps.
What we collect
Your account. Your name and email address, and your password (stored only in scrambled, "hashed" form). If you sign in with Google, we receive your name and email address from Google.
What you put into EventCenter. Your organization's name; your events (dates, venues, goals, budgets); tasks; notes; uploaded files such as contracts; and your team members' names, email addresses and roles.
Information about other people that you add. Contacts (businesses, vendors, sponsors and service providers), including names, phone numbers, email addresses, websites and notes. When you add a business from Facebook, we save the link you shared and the business details you choose to keep. Please only add information you have a legitimate reason to use for your event.
Applications. When a vendor, volunteer, sponsor or hired service applies to an event through an EventCenter application form, we collect what they enter (such as their name, contact details and business details) and share it with that event's organizers.
Billing. Payments are handled by Stripe. We never see or store your full card number. We keep only your plan and the Stripe reference numbers needed to manage your subscription.
Basic technical information. A record of activity inside your organization (for example, "added a task"), so your team can see what changed. Preferences such as dark mode are saved on your own device.
How we use it
- To run EventCenter: sign you in, save your events, and show your team the same information.
- To send emails you'd expect, such as team invitations, application updates, verification links and trial or billing reminders.
- To look up a business's public contact details when you ask us to (the "Find contact info" button).
- To generate marketing post drafts when you ask for them.
- To keep EventCenter secure and stop spam sign-ups.
- To answer you when you contact us.
We don't sell your information or use it for advertising.
Who we share it with
We use a small number of trusted service providers to run EventCenter. They only receive what they need to do their job:

Within EventCenter, the people on your team can see your organization's events and contacts, according to the roles you give them. Event organizers can see the applications sent to their events.
We may also share information if the law requires it, or to protect the safety of our users.
Some of these providers store or process information outside Canada, including in the United States. When that happens, your information may be subject to the laws of that country.
How long we keep it
We keep your information while your account is open. When you delete your account, we delete your personal information and, if you own your organization, its events and contacts as well (see below). Copies may remain in encrypted backups for a short time before they are overwritten. We keep billing records only as long as tax law requires.
Deleting your account
In the app or on the website: sign in, open Settings, and tap Delete my account at the bottom. You'll be asked to confirm.
If you can't sign in: email admin@eventcenter.ca from the email address on your account, with the subject "Delete my account". We'll confirm it's you and complete the deletion within 30 days.
What gets deleted: your account, your profile, and your memberships in other people's teams. If you own an organization, its events, tasks, budgets, contacts, applications and files are deleted too, and any active subscription is cancelled. Teams you only belong to keep their own events.
Your rights
You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent (which may mean closing your account). Most of your information you can view and edit yourself in EventCenter. For anything else, email admin@eventcenter.ca. We'll reply within 30 days.
If you're not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner of Alberta.
Security
Information travels over encrypted connections (HTTPS). Access inside EventCenter is limited by organization and team role. Payments are handled entirely by Stripe. No system is perfectly secure; if a breach affects your information, we'll notify you as the law requires.
Children
EventCenter is meant for adults organizing events and isn't directed at children under 13. We don't knowingly collect information from children.
Changes to this policy
If we make important changes, we'll update the date at the top of this page and let account holders know by email or in the app.
